Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. You will serve as the first point of contact for visitors and callers, manage administrative tasks with efficiency, and support various office functions to help our organization run seamlessly. Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, providing exceptional customer service.
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette.
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure document quality.
  • Coordinate calendar management and schedule appointments for staff members or executives.
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic bookkeeping software such as QuickBooks.
  • Support office management tasks such as supply ordering, mail handling, and maintaining organized filing systems.
  • Assist with special projects, prepare reports, and perform general clerical duties to support daily operations.

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficiency in computer literacy including Microsoft Office, Google Quick Books, data entry, and typing accuracy.
  • Strong customer service orientation with excellent phone etiquette and interpersonal skills.
  • Experience with multi-line phone systems, calendar management, proofreading, and record keeping is preferred.
  • Prior experience as a receptionist, personal assistant, or medical/dental receptionist is a plus.
