A family office within the financial services space is seeking an Administrative Assistant to join their team. The ideal candidate will have 3-5 years' of administrative experience and be incredibly organized, detail-oriented, and able to juggle multiple priorities at once.
Fully on-site in NYC
M-F 9am - 6pm
Pay: $100-130K + bonus
Responsibilities:

Provide comprehensive administrative support in a dynamic environment, ensuring seamless operations and effective communication.

Work closely with the Executive Assistant to support high-level tasks and manage priorities.

Manage dynamic schedules, ensuring accuracy and proactive communication.

Coordinate travel arrangements and maintain detailed itineraries for the Principal.

Prepare meeting materials, summaries, and follow-ups to support decision-making processes.

Serve as a liaison between the Principal and external stakeholders.

Handle household logistics, including mail, deliveries, and errands, with efficiency.

Coordinate with vendors and building management to ensure smooth property operations.

Maintain organized physical and digital records.

Provide technology support, troubleshooting issues and coordinating with IT professionals.
Requirements:

Minimum of 3 years of administrative experience; 5 years preferred.

Proficiency in managing schedules, travel arrangements, and meeting logistics.

Strong organizational skills and attention to detail in handling tasks and records.

Ability to maintain discretion and confidentiality in sensitive matters.

Technical proficiency and ability to troubleshoot basic IT issues effectively.
