Reports To: Lodge Administrator
Status: Part-Time / Hourly
Position Summary
The Administrative Assistant supports the daily operations of the Moose Lodge by assisting with office tasks, membership services, communications, recordkeeping, and general administrative duties. This position helps keep lodge operations organized, efficient, and member-focused while providing support to the Lodge Administrator, officers, volunteers, and committees.
Key Responsibilities
Office & Administrative Support
- Answer phones, emails, and member inquiries in a professional manner
- Maintain organized filing systems (digital and paper)
- Handle copying, scanning, mailing, and routine office tasks
- Assist with new member applications, renewals, transfers, and record updates
- Help communicate upcoming events, dues reminders, and lodge announcements
Financial & Recordkeeping Assistance
- Assist with invoice tracking, deposits, receipts, and data entry
- Help organize bookkeeping records for the Administrator and/or Treasurer
- Reconcile routine paperwork and maintain documentation
- Assist with purchase orders and supply tracking
Compliance & Confidentiality
- Maintain confidentiality regarding financial, personnel, and member information
- Follow lodge policies, procedures, and professional standards
- Assist in maintaining licenses, permits, and required records
Qualifications
- Prior administrative, office, customer service, or bookkeeping experience preferred
- Strong organization and multitasking skills
- Friendly, professional communication
- Comfortable using computers, email, spreadsheets, and office software
- Ability to work independently and take initiative
- Reliable attendance and punctuality
Job Type: Part-time
Pay: From $17.00 per hour
