Position Summary
The Administrative Assistant provides essential administrative, clerical, and congregational support to ensure the effective daily operation of the church office and the smooth coordination of worship services and church communications. This role serves as a primary point of contact for church members and visitors while supporting pastors, elders, ministry leaders, and staff.
Key ResponsibilitiesWorship & Sunday Support
- Coordinate weekly announcements and prayer information for upcoming services.
- Prepare, distribute, and maintain copies of the weekly bulletin; send final copies to pastors and sound technicians.
- Ensure bulletins are proofread, printed, folded, and ready for Sunday services.
- Restock children’s coloring pages following Sunday services.
- Set out communion supplies prior to communion services. Monitor and order supplies as needed.
Liturgical & Sanctuary Preparation
- Refill sanctuary candles weekly.
- Change liturgical paraments as appropriate to the church calendar.
Communication & Publications
- Coordinate with pastors for proofreading before printing communications/publications.
- Notify acolytes, children’s message leaders, and children’s sermon leaders when scheduled to serve.
- Remind the designated Head Elder prior to the first Sunday of each month and communicate monthly responsibilities.
- Prepare and produce the monthly church newsletter, including proofreading, printing, mailing copies to designated recipients, and distributing remaining copies in the church lobby.
Office Administration
- Answer church phone and greet visitors at the church door.
- Provide general clerical support including copying and typing materials for church members and ministry leaders.
- Order and maintain office and custodial supplies.
- Coordinate with the copier company for maintenance, supplies, and monthly copy count reporting.
Congregational Care & Records
- Communicate the needs of members who are hospitalized, recovering from surgery, or absent from church to church leadership and shepherds.
- Maintain and update the Shepherds List, ensuring shepherds are notified of changes within their assigned group.
- Review and update the Memorial Roll monthly to ensure accuracy.
Session & Leadership Support
- Prepare Elder folders for Session meetings, including:
- Previous Session minutes
- Treasurer’s report
- Session agenda
- Committee minutes
- Additional communications

- Ability to maintain confidentiality
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Attention to detail and proofreading ability
- Proficiency with office equipment, Google Drive Workspace, and Microsoft Office products
- Friendly, welcoming demeanor
- Ability to work independently and manage multiple responsibilities
Reporting Relationship
Reports to the Pastor(s) and Session of Owensboro Cumberland Presbyterian Church.
Work Schedule
Part-time position of 15-20 hours/week with regular weekday office hours.
