Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance efficiency, and ensure a smooth workflow across departments. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to manage administrative tasks with precision and professionalism. Whether handling front desk duties, managing workflow, or supporting team members, you will be the backbone of our office environment, fostering a positive and productive workplace.

We are looking for someone who can work 20-25 hours a week from May-December and 25-35 hours from Jan-April (possibly Saturdays between March-April 15)

Duties

  • Greet visitors and manage the front desk with friendly professionalism, ensuring excellent customer service
  • Maintain organized filing systems, both physical and digital, including data entry and document management using Google Workspace, TaxDome, Microsoft Office & Adobe
  • Assist Team members with some bookkeeping tasks using QuickBooks desktop and QBO to support basic record-keeping.
  • Support office management activities such as ordering supplies, and overseeing general administrative functions
  • Manage tax season workflow, including scanning, downloading and printing client documents, setting up client tax folders for the preparers and communicating with clients regarding missing documents and providing updates on return status.

Qualifications

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
  • Experience using QuickBooks or similar bookkeeping software is preferred
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
  • Demonstrated ability to proofread documents meticulously while maintaining high attention to detail
  • Strong time management skills with the ability to multitask efficiently under deadlines
  • Personal assistant experience or office experience that showcases reliability and proactive problem-solving skills
