Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role involves providing exceptional administrative support, managing office operations, and ensuring smooth daily functions. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers, coordinate schedules, handle clerical tasks, and contribute to a positive office environment. Your proactive approach and strong organizational skills will help drive efficiency and support our team’s success.

Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
  • Maintain organized filing systems, manage data entry, and ensure accurate record-keeping
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform clerical tasks such as proofreading documents, preparing correspondence, and handling mail distribution
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management activities including supply inventory, filing, and maintaining a clean workspace
  • Provide excellent customer service by supporting clients, vendors, and team members in person or via phone or email
  • Manage incoming emails and correspondence with professionalism and promptness
  • Support personal assistant duties such as calendar management and travel arrangements when needed

Qualifications

  • Proven experience in an office environment with strong clerical skills and office management experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy
  • Experience with QuickBooks or bookkeeping software is a plus
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Exceptional customer service skills with professional phone etiquette and communication abilities
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Knowledge of multi-line phone systems, filing procedures, and office equipment operation
  • Ability to handle confidential information discreetly while maintaining a positive attitude
