Schwartz Semerdjian Cauley Schena & Bush LLP is a boutique law firm in downtown San Diego that seeks an Administrative Assistant to join our litigation team. The Administrative Assistant plays a central role in ensuring the smooth, efficient, and professional operation of the firm. This position provides direct support to both the Firm Administrator and Billing Administrator, helping maintain strong administrative and financial workflows. The Administrative Assistant will supervise the Receptionist and oversee daily front-office operations to ensure a welcoming and well-organized environment.

Responsibilities:

  • Manage Accounts Payable, including retrieving vendor invoices, entering vouchers into Orion, and tracking missing invoices.
  • Manage Accounts Receivable by preparing the monthly A/R spreadsheet and sending individual client A/R emails to partners.
  • Lead the firm’s social committee by planning and executing staff events and activities that support a positive workplace culture.
  • Plan, create, and execute social media posts and email blasts to maintain the firm’s online presence and brand consistency.
  • Maintain and update the staff calendar, including tracking employee absences and ensuring accurate scheduling information.
  • Serve as backup Receptionist during busy periods or absences, including greeting visitors, answering and transferring calls, preparing conference rooms, distributing mail, maintaining office supply and beverage inventory, and completing other front-office duties as needed.
  • Provide support to the Support Administrator and Billing Administrator as needed to ensure smooth daily operations.
  • Work toward continuous quality improvement.
  • Uphold, support, and promote all company policies and procedures.

Requirements:

  • High attention to detail with a commitment to quality work
  • Strong proficiency in document formatting
  • Expertise in Microsoft Outlook, Word, Excel
  • Able to prioritize work and meet deadlines while managing multiple responsibilities
  • Ability to work autonomously while also collaborating effectively as part of a team
  • Professional, detail-oriented, and capable of maintaining confidentiality

We pay a competitive hourly wage commensurate with experience. The salary range provided is in accordance with California law and reflects our best estimation based on the job requirements. Please note that the range is subject to change based on the candidate's experience and qualifications.
