Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Your attention to detail and professional demeanor is essential. The ideal candidate is proactive, and excels in multitasking with excellent communication skills. Law office experience is beneficial but not required.
Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office
- Coordinate calendar management and schedule appointments
- Handle filing systems, document proofreading, and ensure all correspondence is clear, accurate, and well-organized
- Provide customer support by addressing inquiries promptly via phone or email, offering friendly assistance and resolving issues efficiently
- Assist with clerical tasks including typing reports, managing emails, updating databases, and supporting personal assistant duties as needed
Experience
- Proven office experience with a strong background in administrative support roles
- Familiarity with multi-line phone systems, office management software, and Microsoft Office Suite (Word, Excel, PowerPoint)
- Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong computer literacy including data entry andproofreading
- Previous experience in customer service or reception roles such as legal or office receptionist is advantageous
- Knowledge of clerical procedures such as calendar management, time management strategies, typing accuracy, and office protocol
