Administrative Assistant

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role involves providing administrative support, ensuring smooth daily operations, and delivering exceptional customer service. Experience with office management, clerical duties, and proficiency in software tools such as Microsoft Office. Bilingual abilities are a plus to assist diverse client and staff interactions. The position offers an engaging work environment where organizational skills and professionalism are valued.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Schedule appointments, calendar management, and coordinate meetings using Microsoft Office.
  • Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Support office management tasks such as organizing files, maintaining supplies, and supporting administrative projects
  • Handle correspondence, prepare reports, and perform general clerical duties including typing and document formatting
  • Support personal assistant functions as needed, including travel arrangements or special project coordination

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent communication skills, both verbal and written; bilingual abilities are advantageous
  • Experience with front desk operations and multi-line phone systems
  • Office management experience combined with clerical expertise
  • Customer service experience with a focus on professional phone etiquette and customer support
  • Data entry accuracy along with proofreading skills to ensure error-free documents
  • Ability to manage calendar appointments efficiently and handle time-sensitive tasks
  • Strong computer literacy, typing skills, and general office experience
