Administrative Assistant

Job Summary
We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team. Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records and financial documentation
  • Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
  • Support office management activities including calendar management, appointment scheduling, and coordinating meetings
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping
  • Provide customer service support by addressing inquiries promptly and professionally via phone or email

Requirements

  • Proven experience in office administration or clerical roles, with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and basic computer literacy
  • Experience with QuickBooks or similar accounting software is highly desirable
  • Excellent phone etiquette and customer service skills; bilingual abilities are a plus for effective communication with diverse clients
  • Strong typing skills with high accuracy; familiarity with data entry and proofreading tasks
  • Ability to manage multiple priorities efficiently while demonstrating excellent time management skills
  • Previous experience in medical or dental receptionist roles is advantageous but not required
  • Personal assistant or office management experience will be considered a valuable asset
