Administrative Assistant to the CEO


Position Summary:

We are seeking a highly organized, proactive, and adaptable Administrative Assistant to support the CEO in a fast-paced environment. This role is ideal for someone who thrives wearing multiple hats, enjoys solving problems, and can help keep daily operations running smoothly while maintaining professionalism and confidentiality.
The Administrative Assistant will serve as a key partner to the CEO by managing schedules, coordinating communications, assisting with projects, and helping support overall company operations.


Key Responsibilities:


Executive Support

  • Manage and maintain the CEO’s calendar, meetings, and appointments
  • Coordinate travel arrangements, itineraries, and expense reporting
  • Screen and prioritize emails, calls, and correspondence
  • Prepare meeting agendas, notes, presentations, and follow-up items
  • Assist with confidential documents and sensitive information

Office & Administrative Operations

  • Help support the Director of Operations coordinate company meetings, events, and team activities

Communication & Coordination

  • Serve as a point of contact between the CEO and internal/external stakeholders
  • Track action items and help ensure deadlines are met
  • Assist with customer, investor, or partner communications as needed
  • Support cross-functional coordination across departments

Qualifications:

  • 3+ years of administrative, executive assistant, or office support experience preferred
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to multitask and prioritize in a fast-moving environment
  • High level of discretion and professionalism
  • Proficiency with Microsoft Office, Google Workspace, and virtual meeting platforms
  • Comfortable learning new systems and technology quickly
  • Self-starter with a positive, team-oriented attitude
