About the Role

Seeking an administrative professional to support the Legal team. The role is based in a prominent office location in New York City and reports to the Vice President. The position involves managing calendars, coordinating travel, processing expenses, handling legal invoice processes, and assisting with special projects.


Responsibilities

  • Manage calendar(s) with the ability to anticipate conflicts, prioritize meetings, and handle last-minute changes.
  • Book travel and accommodations as needed.
  • Prepare and process expense reports.
  • Coordinate and order office supplies.
  • Manage the legal invoice process, including tracking invoices, facilitating internal review and approval, communicating revisions with outside counsel, submitting approved invoices for processing and payment, and liaising with accounting and outside counsel to support timely processing and payment.
  • Assist with ad hoc special projects as assigned.


Qualifications

  • Bachelor’s Degree required.


Required Skills

  • Minimum of 2+ years of administrative assistant experience in a corporate or legal environment.
  • Experience handling highly confidential data with discretion.
  • High level of professionalism and maturity.
  • Strong verbal and written communication skills.
  • Strong time management and organizational skills.
  • Detail-oriented team player.
  • Proficient in Microsoft Outlook; strong knowledge of MS Word, Excel, and PowerPoint.
  • Ability to work with a wide range of management levels.
  • Comfortable working in a fast-paced environment with the ability to multitask, shift direction easily, and prioritize.


Pay range and compensation package

$70,000- $80,000. This salary range reflects the administrative assistant role supporting a legal team in a major real estate firm located in New York City, considering the required experience, responsibilities, and market standards for similar positions.
