Administrative Assistant (CPA & Construction Operations)

Annual Salary Range: $52,000–$68,000 annually, commensurate with experience
Position Overview
We are seeking an experienced, highly organized Administrative Assistant to provide operational and executive support to the owner of a growing CPA and construction business portfolio.

Key Responsibilities
Executive & Administrative Support
- Serve as a key point of coordination between the owner, clients, staff, vendors, and external partners
- Manage calendars, scheduling priorities, and logistics in a fast-paced environment
- Coordinate domestic and occasional international travel arrangements
- Draft, edit, and manage confidential correspondence and business communications
- Prepare meeting agendas, organize materials, document action items, and track follow-through
Operations & Workflow Coordination
- Help streamline administrative systems and workflows across CPA and construction operations
- Track deadlines, deliverables, and business priorities to ensure timely execution
- Conduct research and prepare reports, summaries, and administrative documentation
- Identify opportunities to improve efficiency and organization
Community & Workforce Coordination
- Help build relationships with local vendors, workforce partners, and community organizations
- Support recruiting and workforce pipeline efforts for construction-related initiatives
- Foster trusted relationships across New York’s diverse business communities

Required Qualifications
- 2–5+ years of administrative, executive support, or operations experience
- Strong proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
- Excellent organizational skills with strong attention to detail
- Ability to prioritize effectively across multiple projects and deadlines
- Professional judgment, discretion, and comfort handling confidential information
Preferred Experience
- Background in CPA, legal, construction, or other regulated industries
- Familiarity with PASSPort, NYS Contract Reporter, or construction procurement systems
- Experience with myUSCIS or compliance-oriented documentation processes
- Familiarity with New York construction vendors and regional workflows
- Bilingual language skills
- Notary Public certification (or willingness to obtain)
