Overview
The Administrative Assistant (AA) reports directly to the Executive Director but also provides support to other senior staff. The AA serves as the main front-desk receptionist, assists with office operations, supports DACOR's member-facing activities, drafts routine correspondence, and provides overall staff and member support. The position may also work on special projects as assigned.
Specific Duties
· Serve as the Executive Assistant to the Executive Director.
· Assist with processing membership applications, renewals, records and database updates. Assists in tracking and reporting on performance metrics.
· Assist members and visitors with their queries in-person at the main reception desk, by phone and through email. Accepts and routes deliveries at the business entrance.
· Handle reservation bookings for guest rooms and work with House staff to make sure rooms are prepared for guest arrival; provide basic concierge service to guests as needed.
· Work with leadership and staff to run the Reciprocal Clubs Program, including sending and receiving member reciprocity documents and issuing Letters of Introduction.
· General Admin duties such as mail handling and routing, ordering supplies, and taking the lead in making sure equipment is working properly.
· Work with staff to draft communications and correspondence; circulate meeting materials; and process In Memoriam donations.
· Support DACOR team on additional special projects and initiatives and other duties as assigned.
Qualifications
· Strong customer service and interpersonal skills. Must be able to interact effectively, professionally and positively with a diverse range of people at all levels.
· Proficient in Microsoft Office Suite and familiarity with various office computer skills such as databases, websites, and Canva.
· Capability to work cross-functionally within a collaborative team and among stakeholder committees, and contribute to an organizational culture of continuous learning, process improvement, and intellectual curiosity.
· Effective time-management skills with ability to prioritize and meet deadlines.
· Strong written and oral communication skills.
· Experience running meetings and webinars using video conferencing platforms including Zoom, GoToMeeting, and Microsoft Teams preferred.
· Bachelor's degree preferred but not required
· Commitment to DACOR's mission to bring together foreign affairs professionals in support of diplomacy, the Foreign Service, interagency civil service, public understanding of diplomacy, and to preserve the historic DACOR Bacon House.
Location and Work Requirements
This position is full-time in-person. The primary workplace is at the historic DACOR Bacon House at 18th and F Streets NW in Washington, DC. A limited amount of work in this position may be done remotely. Work is generally performed in an office setting, but staff may be required to work in other settings conducive to performing the tasks required to complete assignments. Occasional evening and weekend work may be required.
Compensation
Commensurate with experience, up to $47,000. Benefit package includes paid annual and sick leave, 11 federal holidays, health benefits, retirement plan and transportation subsidy.

Members are active duty or retired Americans from across U.S. government agencies, NGOs, media, international business, and academia.
The ideal candidate will have a proven ability to manage multiple tasks, employ modern time management techniques, work both independently and collaboratively, and enjoy communicating clearly and effectively with a diverse set of members and stakeholders.
