Admin Assistant: The Pulse of the Practice

Are you a high-energy leader who thrives in the controlled chaos of a thriving clinic? We are a unique, high-growth dental practice looking for a "kick-ass" Administrative Coordinator to be the face of our patient experience and the engine behind our daily operations.

We do things differently here: No micro-managing, no stagnant routines, and no "that’s not my job" mentalities. We need an All-Star who can pivot from calming a patient in pain to managing a complex doctor’s schedule, all while keeping the clinical flow moving like a well-oiled machine.

The Role: What You’ll Be Doing

This isn't just a "front desk" job. You are the conductor of the clinical orchestra.

  • Patient Ambassador: You are the warm, upbeat face of the practice. Whether it’s a quick emergency call or a complex check-out, you ensure every patient feels like a VIP.
  • Operational Pilot: You own the master schedule. You’ll manage provider rotations, coordinate emergency "fit-ins," and ensure the day-to-day clinic flow is seamless.
  • Financial Navigator: You’ll manage the office budget, handle supply inventory, and oversee expense reports with 100% precision.
  • Team Captain: You keep the staff on track. From managing doctor/assistant absences to finding coverage and coordinating staff meetings, you are the backbone of the team.
  • Communications Lead: You’ll execute the practice newsletter, manage correspondence with labs and families, and keep our referral network updated.
  • Safety & Integrity Guard: You handle sensitive health records and HIPAA-compliant data with "Fort Knox" levels of discretion and judgment.

Who You Are

  • A People Person: You can de-escalate a nervous patient and command respect from a busy clinical team.
  • A Multi-Tasking Pro: You enjoy a fast-paced environment and can juggle phone lines, insurance inquiries, and in-person check-ins without breaking a sweat.
  • A Tech Whiz: You’re highly proficient in G Suite and dental practice management software (Curve preferable)
  • A "Can-Do" Hustler: You’re proactive—you anticipate a bottleneck in the schedule before it happens and solve it.
  • Organized & Tactful: You have exceptional proofreading skills and the diplomacy to handle confidential patient matters with grace.

The Schedule & Expectations

We move fast and stay agile to meet our patients' needs.

  • The Shift: Full-time. We need a commitment to the early morning start to ensure the clinic is "patient-ready" the moment the doors open.
  • Friday 1:00 Pm - 8:00 PM
  • Saturday 8:00 AM - 8:00 PM
  • Sunday 8:00 AM - 8:00 PM

Total Rewards & Compensation

We believe in rewarding the "heart" of our practice.

  • Experience: Preferable 2-3 years of administrative experience (Dental or Medical preferred, but we’ll train a "force of nature").
  • Education: Bachelor’s degree preferred, but your hustle and track record matter more.
  • Growth: We are a high-growth office; we provide the soil for you to grow into Office Management or Regional leadership.
  • Pay & Perks:

Salary: $22 - $25 / h

Daily Bonuses: $ 4 - $8/h
