Administrative Assistant

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
  • Perform data entry, proofread documents for accuracy, and support bookkeeping tasks using QuickBooks or similar software
  • Schedule appointments, manage calendars, and coordinate meetings while ensuring optimal time management for staff and clients
  • Provide customer support by addressing inquiries promptly via phone or email, offering solutions or escalating issues as needed
  • Assist with office management tasks such as supply ordering, maintaining office equipment, and organizing files for easy access

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks for bookkeeping and basic accounting tasks
  • Excellent computer literacy with the ability to adapt to new software quickly
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Exceptional customer service skills coupled with professional phone etiquette and courteous communication
  • Experience in medical or dental receptionist roles is a plus, along with personal assistant experience for versatile support functions
  • Ability to multitask efficiently while managing time effectively in a fast-paced environment
