Administrative Assistant

Job Summary:

Holy Spirit Parish is looking for a friendly, organized, and upbeat person to join our team as a part-time Parish Administrative Assistant (25-29 hours per week). This role is all about hospitality, teamwork, and keeping things running smoothly behind the scenes. You’ll help welcome parishioners, support staff and volunteers, manage calendars and the weekly bulletin, assist with sacramental records, Mass intentions, funerals, and weddings, and help share parish life through creative social media posts. Job Responsibilities and Expectations:

  • Manages the front office atmosphere that witnesses to the parish’s commitment to serving Christ in hospitality and service with Christian and professional values.
  • Provides clerical support to staff, clerics, & volunteers
  • Schedules events and keeps calendar updated and accurate
  • Responds to incoming information and assistant requests with hospitality and helpfulness.
  • Attends to all Diocesan paperwork requirements excluding financial and cleric
  • Receives, sorts and forwards incoming mail as well as manages parish mailings.
  • Creates and publishes weekly bulletin
  • Maintains all sacramental record books
  • Coordinates Mass intentions
  • Attends various clerical aspects in the coordination of funerals and weddings.
  • Being a liaison for various parish groups and parishioners including assistance in communication needs.
  • Manages building usage paperwork and reservations
  • Supports various team roles as a member of the staff including working the Welcome desk one Sunday a month.
  • Manage communication and postings to Holy Spirit’s social media accounts such as Facebook, Instagram using Canva graphics design program.
  • Any and all duties required by this position or deemed appropriate as assigned

Qualifications:

  • Excellent communications skills, verbal and written; excellent human relations and interpersonal skills.
  • Ability to solve problems and make sound decisions
  • Motivated and well organized; able to multiple task and work with a sense of urgency
  • Ability to maintain confidentiality
  • Ability to work collaboratively in a team environment and is punctual
  • Proficiency in computer technology
  • Professional clean and neat personal appearance
  • Ability to successfully pass a background, criminal history check
  • High School diploma

Working Conditions/Physical Requirements:

Requires coordination and manual dexterity ability to lift 15 to 20 pounds.

Work Schedule:

To be a part-time employee working approximately 25-29 hours per week.

Job Type: Part-time

Pay: From $19.00 per hour
