Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
  • Perform data entry tasks with high accuracy, including invoicing, record keeping, and updating databases such as QuickBooks
  • Support calendar management by scheduling appointments, meetings, and coordinating events for staff and executives
  • Provide excellent customer support by responding promptly to inquiries via phone or email and assisting with client needs
  • Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
  • Proofread documents for accuracy and clarity while ensuring all correspondence meets professional standards
  • Support bookkeeping activities including basic bookkeeping tasks using QuickBooks or similar software
  • Handle clerical tasks such as photocopying, scanning, filing, and organizing documents efficiently

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks for bookkeeping and financial record management
  • Strong multi-tasking abilities with effective time management skills in a fast-paced environment
  • Exceptional phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience in medical or dental receptionist roles is a plus; knowledge of healthcare office procedures is beneficial
  • Personal assistant experience or office management background is advantageous for supporting executive needs
  • Attention to detail in proofreading documents and data entry tasks to ensure accuracy
  • Ability to handle confidential information discreetly while maintaining professionalism at all times
