Join the J Heart Healthcare Inc. family! We are seeking a dedicated and organized Administrative Coordinator to support daily operations within our healthcare and DDA community-based programs. In this role, you will help ensure efficient administrative processes, staff coordination, client support services, and compliance with agency and state regulations. The ideal candidate is detail-oriented, compassionate, and able to manage multiple responsibilities while supporting individuals with intellectual and developmental disabilities in a professional healthcare environment. Responsibilities
- Coordinate daily administrative operations to support healthcare and DDA community-based programs.
- Maintain accurate client records, employee files, schedules, incident reports, PCP documentation, and other confidential administrative documents in compliance with HIPAA and agency standards.
- Assist with onboarding, scheduling, and coordination of Direct Support Professionals (DSPs), Certified Medical Technicians (CMTs), and other staff members.
- Monitor staff credentials, training requirements, medication certifications, CPR certifications, and compliance deadlines.
- Support communication between families, guardians, nursing staff, case managers, and interdisciplinary teams regarding client care and services.
- Assist with coordinating transportation schedules, medical appointments, staffing coverage, and community activities for clients.
- Track and organize documentation related to DDA compliance, seizure protocols, behavioral support plans, and incident reporting.
- Support implementation and tracking of Person-Centered Plan (PCP) goals and ensure documentation is updated appropriately.
- Respond professionally to phone calls, emails, and inquiries while maintaining confidentiality and excellent customer service.
- Assist leadership with audits, payroll support, billing preparation, data entry, and operational reporting as needed.
- Ensure office operations follow safety procedures, infection control standards, and organizational policies.
Skills
- Proven administrative experience in healthcare, home care, behavioral health, DDA services, or community-based programs preferred.
- Strong organizational and multitasking skills with the ability to manage deadlines in a fast-paced environment.
- Knowledge of HIPAA compliance, medical terminology, and healthcare documentation practices.
- Familiarity with DDA regulations, PCP documentation, incident reporting, and staff scheduling processes is highly valued.
- Proficiency in Microsoft Office Suite, Google Workspace, EMR/EHR systems, and electronic documentation platforms.
- Excellent verbal and written communication skills with the ability to interact professionally with clients, families, staff, and healthcare providers.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Experience coordinating services for individuals with intellectual or developmental disabilities is preferred.
- Strong problem-solving skills, attention to detail, and ability to work independently and collaboratively within a team environment.

Pay: $18.00 - $21.00 per hour
