Administrative Assistant

Duties

  • Manage front desk operations by greeting customers warmly, answering multi-line phone systems, and directing calls professionally and courteously.
  • Maintain organized filing systems, perform data entry, and handle documents with accuracy and confidentiality.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for scheduling appointments, managing correspondence, and organizing daily operations.
  • Oversee calendar management and coordinate meetings or appointments efficiently.
  • Provide exceptional customer service by responding promptly to phone calls, emails, and customer inquiries while creating a welcoming environment for clients.
  • Assist with office management duties such as ordering supplies, maintaining office organization, and ensuring the showroom and workspace remain professional and presentable.
  • Handle clerical responsibilities including filing, photocopying, scanning documents, and organizing digital records.

Support the company’s social media presence by helping create content, posting updates, responding to messages, and maintaining professional engagement across platforms.

Support personal assistant functions when needed.

Demonstrate the ability to work independently, stay organized, take initiative, and manage responsibilities with minimal supervision.

Requirements & Qualifications

Previous experience in administrative, receptionist, customer service, or office support roles preferred.

  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel) and Google Workspace (Gmail, Calendar, Docs).
  • Comfortable using social media platforms such as Instagram, Facebook, and TikTok for business purposes.
  • Strong communication skills with professional phone etiquette and customer-focused interaction.
  • Highly organized with strong multitasking abilities and excellent time management skills.
  • Self-motivated, dependable, and capable of working independently while maintaining productivity and professionalism.
  • Bilingual abilities are a plus to support communication with a diverse clientele.
