Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, handle incoming calls, and provide prompt customer support or support staff as needed
  • Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events with strong organizational skills
  • Support office management tasks including supply ordering, inventory tracking, and basic bookkeeping responsibilities
  • Proofread documents for accuracy and clarity before distribution
  • Provide administrative support such as photocopying, scanning, faxing, and managing correspondence

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping and financial recordkeeping
  • Excellent computer literacy including data entry and document proofreading skills
  • Bilingual abilities are highly valued to assist a diverse client base effectively
  • Strong phone etiquette with experience managing multi-line phone systems and providing customer service/support
  • Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment
