Administrative Assistant

Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
  • Perform data entry tasks with precision, ensuring all records are up-to-date and error-free
  • Support calendar management by scheduling appointments, meetings, and coordinating events
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries
  • Provide clerical support including proofreading documents, preparing reports, and managing correspondence
  • Handle customer support inquiries via phone or email with professionalism and courtesy
  • Support office management duties such as supply inventory, filing systems, and maintaining a clean workspace
  • Offer personal assistant support when needed, including travel arrangements or special project coordination

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent phone etiquette skills; experience managing multi-line phone systems is a plus
  • Bilingual abilities are highly desirable to assist diverse clients and staff members
  • Strong typing skills with a focus on accuracy; familiarity with proofreading is beneficial
  • Previous clerical or administrative experience in a professional setting required
  • Ability to manage time effectively in a fast-paced environment while prioritizing tasks efficiently
  • Knowledge of office management practices including filing systems and data entry processes
  • Personal assistant or medical/dental receptionist experience is advantageous but not mandatory

Pay: $25.05 - $30.17 per hour
