Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team members, ensuring appointments and meetings are coordinated efficiently
  • Perform data entry, filing, and record keeping using Excel, Microsoft Office, Google Workspace, and other office management tools
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Accounts Receivable and Payables
  • Assistance with Payroll time sheets
  • Dispatch occasionally
  • Provide customer service support by addressing inquiries promptly and professionally via phone, email, or in person
  • Assist with proofreading documents, preparing reports, and maintaining accurate records through meticulous organizational skills
  • Support office management activities such as supply ordering, maintaining cleanliness, and ensuring a well-organized workspaceRequirements
  • Proven office experience with strong clerical skills including data entry, filing, and document proofreading
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic computer literacy
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus for diverse environments
  • Invoicing
  • Knowledge of QuickBooks or bookkeeping experience is beneficial but not mandatory
