Administrative Assistant

Responsibilities

  • Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure document clarity
  • Coordinate calendar management and schedule appointments or meetings using Microsoft Office and Google Workspace tools
  • Handle office management tasks such as supply ordering, mail distribution, and maintaining cleanliness of common areas
  • Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks like invoice processing and expense tracking
  • Provide customer service support by addressing inquiries promptly and professionally, whether in person or via phone or email
  • Assist with clerical duties such as photocopying, scanning, organizing files, and managing office supplies to ensure operational efficiency

Experience

  • Previous office experience or administrative experience demonstrating strong organizational skills and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with multi-line phone systems, data entry, filing systems, and general clerical tasks
  • Bilingual abilities are highly desirable to support diverse client interactions
  • Experience with QuickBooks or bookkeeping software is a plus for handling financial transactions accurately
  • Strong typing skills coupled with excellent proofreading capabilities to produce error-free documents
  • Customer service background with demonstrated ability to handle inquiries professionally while maintaining a positive attitude
