Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
  • Organize files, maintain records, and ensure proper document management through filing systems
  • Assist with calendar management, scheduling appointments, meetings, and events for staff.
  • Provide excellent customer service support via phone, email, or in person to clients and team members
  • Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies

Experience

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
  • Experience with QuickBooks or bookkeeping is highly desirable, but we are willing to train the correct candidate.
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are a plus for supporting diverse client needs
  • Demonstrated customer service expertise with professional phone etiquette and support skills
