ROLE SUMMARY

Sharp Innovations, Inc. of Lancaster, PA is seeking a part-time Administrative Assistant to work with our Executive Assistant, Amy Nolt and others to handle a wide range of accounting, financial, administrative, operational and management support functions.

We can be flexible to modify this to best match the skill sets of the ideal candidate we hire.

The number of hours desired per week is open to what the ideal candidate wants for a sustained long-term role. If full-time employment was needed, it could be considered depending upon how ideal of a fit the candidate was to support other entities that reside at the same property and that are owned/overseen by our CEO, Joe Sharp.

The successful candidate would work with Amy to oversee similar responsibilities for other entities ideally as noted below. The tasks for Sharp Innovations, Inc. and Living for God’s Glory initially are most important, and then hours desired can be determined from there:

ESSENTIAL DUTIES AND RESPONSIBILITIES

Sharp Innovations, Inc.

  • Cross-training on all aspects of bookkeeping for the company by Amy, especially to be able to eventually cover her when she is off, though we currently have several other part-time staff that can help in this way as well, the successful candidate would become the primary backup.
  • Filing
  • Paper Invoice Batch processing
  • Purchasing for team and company at BJ’s, etc. Keep supplies stocked and managed
  • Cleaning of the office weekly
  • Cross-training on how to manage and file CEO’s e-mail when he is away and partner, Greg Lauver, as well since he normally does that
  • Calling clients / accounts receivable follow-ups as needed working with PT teammate, Todd.
  • Helping to plan team building events
  • Shopping for comparison pricing for venders like insurance as needed.
  • Helping with HR related questions and administrative items for teammates as needed

Living for God’s Glory, LLC.

  • Managing on-going accounting and bookkeeping (QuickBooks and Google Docs) with venders and guests for our properties in PA, DE, ME and SC
  • Cross-training for guest and vender communication on off-days (typically 2/month) for our Property Manager, Stephanie.

Kingdom Crossroads, LP.

  • Weeding at the property where applicable, but many times handled by others
  • Calling to schedule plumbers, HVAC or other venders if needed for a tenant, or to let them into a unit at the property as things occasionally come up.
  • Cleaning of an apartment when one turns over. Many times, 0-1 time in a year.

Live with Purpose Coaching, LLC.

  • Cross-training coverage for Jodi Lapp, Client Support & Prayer Leader. This mainly looks like greeting coaching clients that come in on pre-set days where she would give you notice of needing coverage, and could also be confirming appointments, etc.
  • Cross-training on doing payroll for CEO, but this would be more of a longer-range consideration

Live with Purpose Church

  • If there was still time available and/or the ideal candidate was looking for more full-time type work there are many functions available that could be discussed within administrative, communication and church coordination activities with the small church on-site as well that could be discussed as well.

Live with Purpose Family

  • Cross-training assistance in minor bookkeeping details for this ministry.

What we seek more than anything is a reliable, long-term team member, more than the specific hours per week. We can customize this to fit best for the right person. We will phase in duties in layers based upon how you learn and the pace that makes sense for you. We have opportunities like helping with on-going customer service contacts with hundreds of clients to retain them and help maintain their satisfaction, that could be areas of additional role expansion again if more hours are truly needed.

Your boss is a true visionary and a man of passion to bring the name of Jesus true glory in all he does. He is doing his best to be led by the Holy Spirit above all, so everything you would help him at our Kingdom Crossroads complex which is truly an amazing story of faith and God’s faithfulness step by step over seasons in his life and our team’s journey of faith. He is passionate to help you and everyone on the team and those he serves to become all God has planned them to be. As you can imagine, he is basically looking for someone to step into this role that not only is loyal, and dedicated, but someone that he can share an exciting long-term future with, like he has established with his Executive Assistant. You became a trusted inner circle extension of her.

The ideal candidate must be comfortable being flexible as well in their role. They would become a supporting relationship and influence in his family’s life (his wife Jen, and 3 biological young kids and one adopted child – Joshua (11), Samuel (10), Madalyn Grace (7), and Joyanna (3). Their home is 4 minutes from the office, and what this would primarily look like is being open during work hours when needed to help his wife watch the kids at our children’s ministry literally right outside your office at the complex or our home during special needs like medical or school appointments or something where coverage is needed and the kids can’t easily all come with her. Typically, our Executive Assistant, Amy, would do this, but you would join our Property Manager / Kids Ministry Director, Stephanie, as 1 of 3 trusted people for the CEO’s family when needs arise. This normally might be only 1-2 times per month, and normally tons of notice is given. You would help with checking our mail, watering our plants when applicable on vacations if Amy was off, etc. It could also be similar for other partners in the firm like Peter who currently has his first child, a baby boy. He lives very close to the office too. We are just adding depth to the team we have to walk with our leadership. You could also help us with date nights over time for a partner and watch the related children. Amy again most times does this, but like Stephanie you could become another option with schedule conflicts, etc. We would give you additional paid days off in trade for spending an evening helping us strengthen our marriage. We absolutely want to uphold and respect clear boundaries for you and your family. We want to meet your spouse as well if married during the hiring process and have an open and honest conversation to make sure all 4 of us can feel best about how God is leading. Amy will be a part of the final interview process too so feel free to ask her anything you want to know in this area. We are basically saying we are looking to build a friendship with you and your family, not just hire you and pay you well. This role is too special and unique for less. We are looking for someone that is passionate about helping to influence and strengthen the Christian values we are raising our children up in, and become a voice they respect and trust for many years as they grow up. We are very family focused, and want to do all we can as an employer to support the goals you and your family have, as a 2-way street.

We are seeking a person who will be able to work part-time out of our Conestoga, PA office. However, you will see we are very flexible, you can work remote when needed, bad weather, etc. We want someone who wants a career and give their best, and we will do the same to you in turn working to deliver on being the best place you have ever worked. The successful hire would also have the opportunity to advance into holding an equity stake in the company after they establish roots if desired.   • Proven success using QuickBooks, Google Docs/Sheets, and anything else related to our bookkeeping processes that you would be trained on.
  • Ensuring that all accounting for Living for God’s Glory, LLC. is owned by you and handled with consistent, timely reliability.
  • Ensuring that all accounting for Sharp Innovations, Inc. that is delegated task wise by our Executive Assistant or other team members is handled as a timely priority as well. We want accuracy, and someone that will see things through consistently.
  • Modeling open communication when anything is unclear to ensure growth and success in this role.
  • Flexibility within the entities for cross-training on any of the other tasks where needed and possible, and to ensure everything that needs to be done that is being Delegated from our Executive Assistant is being done well so she can rely you on, especially when she is out and you are covering her for essential work flows.

SKILLS AND QUALIFICATIONS
The ideal candidate will possess the following skills:

  • Experience with QuickBooks
  • Experience with General Microsoft Excel spreadsheet creation and management duties or Google Docs/Sheets
  • Comfortable in general with Microsoft office suite and generally feels they are computer literate
  • Someone that has a reasonably high level of organization and attention to detail
  • Someone that values, and enjoys communication and relationships (clients, team, venders, etc.)
  • Personable and able to adapt easily to new situations and environments
  • Self-starting and able to operate independent of direct supervision, but also works well in a team
  • Someone that is generally humble, hungry and smart.

  • You are able after training to choose your hours that need to be at the office anywhere from the 6:30am-6:30pm window, just making sure some hours works over our 8:30am-4:30pm work hours for tasks that require client phone communication, going to the bank, etc. For remote tasks, you can truly make your own hours, allowing almost any family dynamics and matters of personal importance to be handled, you simply need to make sure your responsibilities get done.

Basically, this is a hybrid role, unless the candidate wants to work at office only. Days of week, and hours in general can be flexible and worked out and even change as needed. You would work out an agreeable flow between you and our Executive Assistant.
