Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk operations, greeting visitors and clients with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Perform data entry and maintain organized filing systems, both physical and digital, including Google Workspace and Microsoft Office files
  • Coordinate calendar management for executives, scheduling appointments, meetings, and reminders efficiently
  • Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence
  • Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
  • Assist with office management duties including supply inventory, equipment maintenance, and general administrative support
  • Provide exceptional customer service by addressing inquiries promptly and professionally in bilingual settings if applicable

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with data entry, filing systems, and document proofreading
  • Excellent phone etiquette with the ability to manage multi-line phone systems efficiently
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to support diverse client needs
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Previous experience as a receptionist or personal assistant is preferred
  • Familiarity with medical or dental receptionist duties is advantageous but not required
