We are seeking an energetic and detail-oriented Administrative Assistant to join our team. In this vital role, you will support the Executive team, organize daily office operations, manage communication channels, and ensure a smooth flow of administrative tasks. Your organizational skills and positive attitude will help create an efficient and welcoming environment for staff, clients, and visitors alike. Responsibilities

  • Prepares and edits correspondence, communications, and other documents.
  • Serves as first point of contact by answering phones, welcoming guests at the front desk, and opening and closing the building.
  • Accurately maintains State databases for attendance, billing, and community related data.
  • Interacts with Harford Center staff and participants in a pleasant and professional manner.
  • Oversight of front office, which includes answering phones at the front desk and monitoring visitor entry and exit.
  • Records, transcribes, and distributes minutes of meetings.
  • Arranges and coordinates meetings and events for the Executive Team and the Board of Directors.
  • Monitors, screens, responds to, and distributes incoming communications.
  • Interacts with external partners.
  • Participates on Staff Recognition committee.
  • Coordinates project-based work.
  • Types and word-processes various documents and electronic information.
  • Communicates and provides information by relevant methods internally and externally to assist and enable organizational operations and effective service to connect groups.
  • Provides support to all department heads.

Qualifications

  • Minimum of 4 years’ experience providing office support.
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
  • Experience with using various databases.
  • Knowledge of standard office administrative practices and procedures

Pay: $22.00 - $22.50 per hour
