Job Description

This Administrative Assistant will work as a trusted advisor and provide critical support to an executive leader in U.S. Bank’s Payments organization. Taking ownership of and driving operational effectiveness enables the Executive to focus on strategic priorities. This role owns core elements of executive operations, including calendar and inbox management, detailed travel coordination, meeting readiness, operating cadence, and cross-functional coordination in a fast-paced, high-visibility environment.


KEY RESPONSIBILITIES

Executive Operations & Communication

  • Manage complex calendar and inbox, including prioritization, conflict resolution, and handling sensitive communications
  • Serve as primary intake point for meeting requests and coordinate across stakeholders and time zones
  • Draft, edit, and manage executive communications, presentations, and materials

Meeting & Operating Cadence Management

  • Prepare executives for meetings, including agendas, materials, and context
  • Own recurring leadership cadences (e.g., 1:1s for variety of employees, staff meetings), including scheduling, materials, and adjustments as priorities shift
  • Track action items and ensure timely follow-up and execution

Project & Cross-Functional Coordination

  • Coordinate initiatives across stakeholders and maintain alignment on priorities
  • Track milestones, decisions, and deliverables across workstreams
  • Maintain organization and version control of executive materials

Reporting, Tools & Administrative Support

  • Develop reports, summaries, and executive-ready materials
  • Maintain shared files, documents, and structured repositories
  • Support operational processes including travel, expenses, and access requests
  • Track compliance and training requirements

Stakeholder & Organizational Support

  • Partner with internal stakeholders, administrative peers, and chiefs of staff to ensure coordination and continuity
  • Maintain organizational artifacts such as distribution lists
  • Support team engagement and leadership participation in key initiatives


BASIC QUALIFICATIONS

  • High school diploma or equivalent
  • Typically 3+ years of administrative or executive support experience
  • Expert in ability to work with a variety of applications and software including, though not limited to, the entire Microsoft Suite, including Copilot
  • Ability to learn new systems as they become available
  • Able to move quickly and shift priorities frequently based on business needs
  • Strong prioritization, organization, and problem-solving skills
  • Excellent written and verbal communication skills
  • High judgment and discretion in handling sensitive information
  • Ability to manage multiple priorities and operate proactively
  • Strong collaboration across cross-functional stakeholders
  • Experience supporting senior leadership in fast-paced, highly-confidential environments

PREFERRED SKILLS AND EXPERIENCE

  • Bachelors’ degree
  • Strong reading, writing, and analytical abilities
  • Professional experience with Copilot for prompting and agentic work
  • Experience with reporting, data summarization, and executive materials
  • The role offers a hybrid/flexible schedule, which means there's an in-office expectation of 3+ days per week in the office

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $24.18 - $32.21
