Administrative Assistant

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong understanding of contractor documentation and progress billing, including G701s, G702s, and Schedules of Values, excellent communication abilities, and proficiency in various computer applications. This role is essential in ensuring smooth daily functions, providing exceptional customer service, and maintaining efficient administrative processes. Bilingual skills are a plus to assist diverse client and staff interactions.

Duties

  • Assist in front desk administrative duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
  • Utilize Microsoft Office Suite, Google Workspace, and other office software for correspondence, report creation, and scheduling.
  • Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives.
  • Handle customer support inquiries via phone, email, or in person, providing excellent service and support.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software as needed.
  • Support office management activities such as supply ordering, mail distribution, and maintaining office equipment.
  • Maintain confidentiality of sensitive information while adhering to company policies and procedures.
  • Prepare, review, and manage contractor documentation, including G701/G702 applications for payment and Schedules of Values.
  • Provide personal assistant support including travel arrangements or special project assistance when required.

Requirements

  • Proven experience in office administration or clerical roles; prior experience as a receptionist is advantageous.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Exceptional communication skills with professional phone etiquette; bilingual abilities are preferred but not required.
  • Experience with office management tools such as multi-line phone systems, calendar management software, and bookkeeping programs like QuickBooks.
  • Attention to detail in proofreading documents and maintaining accurate records.
  • Ability to handle customer service interactions with professionalism and patience.

Pay: From $18.00 per hour
