Administrative Assistant

We are seeking a professional and friendly Receptionist to be the first point of contact for our office. This role is 100% in-office and is essential in welcoming visitors, directing calls, and supporting our team with general administrative and office management task. If you are organized, detail-oriented, and excel at working with spreadsheets, this is an excellent opportunity to join our team.

Responsibilities

  • Greet visitors and answer incoming phone calls in a professional manner
  • Direct calls, messages, and visitors to the appropriate team members.
  • Cover phones for the Service Department during breaks, lunches, and meetings (as needed).
  • Order and maintain office supplies through Staples or other vendors.
  • Order and track business office forms, letterhead, business cards, and related items.
  • Keep kitchen and office supplies cleaned, organized, and stocked.
  • Prepare and manage FedEx shipments, including scheduling pickups online or by phone.
  • Track and process business license renewals.
  • Handle incoming and outgoing mail and deliveries.
  • Maintain front desk area and conference rooms to ensure a clean, professional appearance.
  • Build and maintain tracking spreadsheets for office needs, reporting, and department support.
  • Assist with data entry, filing, scanning, and document preparation.
  • Support team members with scheduling and administrative task as needed.
  • Other duties/responsibilities as assigned.

Skills & Qualifications

  • Strong proficiency in Microsoft Office, with advanced Excel skills (formulas, data validation, and reporting required). Candidates must be able to demonstrate Excel competency as part of the interview process.
  • 1-2 years of receptionist, administrative, or office support experience preferred.
  • Strong organizational and communication skills.
  • Professional and courteous demeanor with the ability to handle visitors and phone calls effectively.
  • Proven ability to multitask and manage priorities in a busy office environment.
  • High school diploma or equivalent required.

Job Type: Full-time

Pay: $19.00 - $21.00 per hour
