Greycourt & Co., Inc. is an independent, SEC‑registered investment advisory firm serving ultra‑high‑net‑worth families and select institutions. The role we are looking to fill will be based in our Pittsburgh office.
We are seeking an experienced Administrative Assistant with exceptional communication skills, strong attention to detail, and the ability to manage a diverse range of tasks simultaneously. This role reports directly to the Manager of Corporate Administration.
Responsibilities:
- Front desk reception (answering phones, greeting visitors, handling deliveries)
- Providing administrative support (incoming & outgoing mail, FedEx packages, filing, correspondence)
- Assisting with the production of marketing materials and client reports
- Special projects as needed
- Travel arrangements
- Heavy meeting and conference call scheduling
- Expense reconciliation
- Order and stock office supplies
- Order, setup, and cleanup business meeting lunches
- Various light housekeeping duties (monitor general cleanliness of conference rooms, kitchen area, cleanup when needed)
Qualifications:
- Extremely detail-oriented and highly organized
- Ability to multi-task, manage time and projects efficiently and effectively, work well under pressure and deadlines
- Strong communication and interpersonal skills
- Ability to use discretion and maintain confidentiality
- Experience with travel arrangements and expense reconciliation
- Professional telephone etiquette
- Professional appearance and demeanor, with ability to exercise good judgment and discretion
- Computer fluency with MS Office (Word, Power Point, Excel & Outlook) and Adobe.
- Familiarity with contact management software, especially Microsoft Dynamics 365 CRM, a plus
- Maturity and the ability to follow instructions and to work independently
- Punctual, reliable
- Candidates must possess authorization to work permanently in the US. No relocation reimbursement provided.
