The Administrative Assistant will work with the Controller and Director of Operations and be responsible for assigned basic accounting and purchasing related tasks. This position will also support and coordinate office administration and procedures, in order to ensure organizational effectiveness and efficiency.
This position requires an energetic professional who does not mind wearing multiple hats. Willing to work in a fast pace growth environment with entrepreneurs. Experienced in handling a wide range of administrative and executive support related tasks. Well organized, flexible and enjoys the administrative challenges.
Responsibilities:
- Assist with data entry, record keeping, and document management.
- Receive payments from Customers into PLEX
- Process billing from vendors – matching paperwork to completion; enter into system
- Audit Vendor issues file; assist in clearing as needed
- Invoicing Customers and maintaining the Accounts Receivable balance
- Support management and staff with administrative tasks and special projects.
- Filling out customer and vendor paperwork and managing their contracts
- Manages and reconcile company credit card transactions
- Maintain filing systems, databases, and office records.
- Work with Vendors to obtain quotes and order materials and supplies
- Adjust pricing and update information in PLEX
- Other administrative reports/support as assigned.
Requirements:
- Previous administrative, clerical, or office support experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with ERP systems, Plex preferred
- Ability to exercise sound judgment and discretion while maintaining a high level of professionalism and strict confidentiality.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to prioritize tasks and work independently.
- Strong attention to detail and problem-solving skills.
- Understanding of basic accounting principles
- Great Attendance
20 hours average per week
Monday-Friday required, flexible with hours.
Pay: $16.00 - $18.00 per hour
