Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and ensure a smooth workflow across departments. In this role, you will serve as the first point of contact for visitors and callers, manage schedules, handle clerical tasks, and contribute to a positive and efficient office environment. Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to answer inquiries, transfer calls, and take messages promptly
  • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools
  • Perform data entry tasks accurately using computer literacy skills, including QuickBooks for bookkeeping and financial record keeping
  • Support calendar management by scheduling appointments, meetings, and coordinating personal assistant tasks as needed
  • Assist with office management duties such as supply ordering, inventory tracking, and maintaining cleanliness of common areas
  • Provide customer service support by addressing inquiries efficiently and professionally in person or via phone/email
  • Proofread documents for accuracy and clarity before distribution or submission
  • Handle clerical responsibilities like photocopying, faxing, mailing, and document preparation for various departments

Qualifications

  • Proven experience in an office environment with strong clerical skills and organizational abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Strong typing skills with high accuracy; attention to detail in proofreading documents
  • Previous experience as a receptionist or medical/dental receptionist is advantageous
  • Demonstrated ability to manage time efficiently while handling multiple priorities simultaneously
  • Knowledge of office management procedures and customer service best practices
