Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to work with us in our funeral home. This vital role offers the opportunity to support daily office operations, streamline administrative processes, and ensure a smooth workflow. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to help keep our office running efficiently.

Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls, and relay messages accurately and promptly
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks using tools like Microsoft Office and Excel.
  • Provide exceptional customer service by responding to inquiries via phone, email, or in person with courtesy and efficiency
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Assist with clerical duties including proofreading documents, preparing reports, and managing correspondence

Requirements

  • Proven experience in an office environment or as an administrative assistant with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
  • Familiarity with QuickBooks or bookkeeping experience is a plus
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong phone etiquette skills; experience handling multi-line phone systems preferred
  • Bilingual abilities are highly desirable to support diverse client and team interactions
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
  • Demonstrated attention to detail through proofreading and data entry accuracy
  • Ability to handle confidential information discreetly while maintaining professionalism
  • Must be comfortable working with grieving and emotional people.
