Responsibilities

  • Serve as the front desk ambassador by answering multi-line phone systems.
  • Manage calendar appointments, schedule meetings, and coordinate office events with precision using Microsoft Office and Google Workspace tools.
  • Perform data entry, maintain filing systems, and handle document proofreading to ensure accuracy and organization.
  • Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
  • Support office management duties including supply ordering, filing, and maintaining office equipment.
  • Assist with clerical tasks such as typing correspondence, preparing reports, and managing email communications with professionalism.
  • Provide bilingual support when needed to facilitate clear communication with team members and external parties.

Experience

  • Proven office experience or administrative background demonstrating strong organizational skills and attention to detail.
  • Familiarity with multi-line phone systems, phone etiquette, and customer support best practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy skills.
  • Experience with data entry, filing systems, proofreading documents, and managing calendars effectively.
  • Prior experience in roles such as medical receptionist or dental receptionist is a plus but not required.
  • Knowledge of bookkeeping software like QuickBooks or similar tools is advantageous.
  • Strong organizational skills combined with excellent time management abilities to prioritize tasks efficiently.
