Administrative Assistant

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Maintain accurate data entry records using computer skills and software such as Microsoft Office and Google Workspace
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff and executives
  • Support bookkeeping tasks using or similar accounting software to track expenses and invoices
  • Provide customer support by addressing inquiries promptly via phone or email, ensuring excellent service at all times
  • Perform clerical duties including proofreading documents, managing correspondence, and preparing reports
  • Coordinate office management activities to ensure smooth daily operations and supply inventory control

Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent typing speed and accuracy for efficient data entry and document preparation
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping
  • Strong multi-tasking abilities with effective time management skills to prioritize tasks efficiently
  • Exceptional customer service skills with professional phone etiquette and interpersonal communication
  • Experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is valued too
  • Knowledge of office equipment such as multi-line phones, fax machines, printers, and scanners
  • Attention to detail in proofreading documents and maintaining accurate records
