We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle incoming calls efficiently and courteously
- Maintain accurate data entry records using computer skills and software such as Microsoft Office and Google Workspace
- Organize and file documents systematically, ensuring easy retrieval and confidentiality
- Assist with calendar management, scheduling appointments, meetings, and reminders for staff and executives
- Support bookkeeping tasks using or similar accounting software to track expenses and invoices
- Provide customer support by addressing inquiries promptly via phone or email, ensuring excellent service at all times
- Perform clerical duties including proofreading documents, managing correspondence, and preparing reports
- Coordinate office management activities to ensure smooth daily operations and supply inventory control
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent typing speed and accuracy for efficient data entry and document preparation
- Familiarity with QuickBooks for bookkeeping and financial record-keeping
- Strong multi-tasking abilities with effective time management skills to prioritize tasks efficiently
- Exceptional customer service skills with professional phone etiquette and interpersonal communication
- Experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is valued too
- Knowledge of office equipment such as multi-line phones, fax machines, printers, and scanners
- Attention to detail in proofreading documents and maintaining accurate records
