Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Nevada-based repossession company. This position provides essential clerical, customer service, and administrative support to ensure smooth daily office operations. The ideal candidate must have, or be able to obtain, a PILB card through the State of Nevada, and must have, or be able to obtain, a notary commission in the State of Nevada. Nevada notary requirements include training, a $10,000 surety bond, and commission through the Secretary of State.

Responsibilities

  • Provide front desk support by greeting visitors and handling inquiries professionally.
  • Answer and direct calls using a multi-line phone system.
  • Perform accurate data entry and maintain records and filing systems.
  • Assist with scheduling appointments and coordinating repossession schedules.
  • Serve as a point of contact between management, repossession agents, clients, and other stakeholders.
  • Prepare, process, and organize repossession-related paperwork, including contracts, invoices, and compliance documents.
  • Use Microsoft Office to type, proofread, and prepare reports and correspondence.
  • Order office supplies and assist with inventory and office organization.
  • Provide customer support and resolve client inquiries promptly.
  • Maintain confidentiality when handling sensitive information.
  • Support multiple departments with administrative tasks as needed.
  • Prepare reports on repossession activity and assist with tracking performance metrics.
  • Help ensure compliance with company policies and applicable legal regulations.
  • Handle process service intake, client communication, emails, phone calls, and related follow-up tasks.

Qualifications

- Proven experience in an administrative or clerical role preferred.

- Strong organizational skills with the ability to prioritize tasks effectively.

- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

- Strong typing and proofreading skills with attention to detail.

- Experience with multi-line phone systems and front desk operations is a plus.

- Excellent interpersonal and customer service skills.

- Ability to work independently and as part of a team.

- Reliable and able to support a fast-paced office environment.

- Bilingual candidates are encouraged to apply.

- Must have, or be able to obtain, a notary commission in the State of Nevada.

Additional Information

This role is a support staff position that plays an important part in daily operations and internal communication. The selected candidate must be available to travel to Sparks, NV for training and occasional peer coverage as required.

Pay: $23.40 - $26.17 per hour
