Responsibilities
- Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
- Coordinate calendar management, schedule appointments, meetings, and events efficiently while maintaining organization through calendar tools
- Handle clerical duties such as filing, proofreading documents, and maintaining organized office records with precision
- Provide excellent customer service by responding promptly to inquiries via phone, email, or in person, ensuring positive interactions at all times
- Support office management tasks including supply inventory, document preparation, and general administrative support for various departments
- Assist with specialized roles such as medical or dental receptionist duties when needed, including patient check-in/out and appointment scheduling
Experience
- Previous office experience with a strong background in administrative support or clerical roles is preferred
- Proven proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and QuickBooks for bookkeeping tasks
- Experience managing multi-line phone systems and demonstrating excellent phone etiquette is essential
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Personal assistant or medical/dental receptionist experience is a plus but not required
- Strong typing skills with attention to detail for data entry, proofreading, and document management
