Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. This role is vital in ensuring smooth daily functions, managing communication, and providing exceptional customer service. The ideal candidate will possess strong computer skills, office management experience, and the ability to handle multiple tasks efficiently. Bilingual abilities and familiarity with various office software are a plus. Duties
- Manage front desk responsibilities, including greeting visitors and handling inquiries
- Operate multi-line phone systems with professionalism and courtesy, adhering to proper phone etiquette
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
- Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
- Handle bookkeeping tasks using QuickBooks or similar software as needed
- Support office management tasks such as supply ordering, mail distribution, and organization of office space
- Assist with customer support by responding promptly to inquiries via phone or email
- Provide personal assistant support including travel arrangements or special project assistance as required
- Maintain confidentiality of sensitive information while ensuring efficient workflow
Qualifications
- Proven experience in office administration or clerical roles; prior experience as a receptionist or medical/dental receptionist is advantageous
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills; bilingual abilities are preferred but not required
- Experience with QuickBooks or bookkeeping is a plus
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
- Strong typing skills and familiarity with office management procedures
- Previous experience in office management or administrative support roles is desirable
- Demonstrated time management skills and the ability to work independently in a fast-paced environment
