Administrative Assistant

Job Overview
We are seeking a highly organized and detail-oriented Full-Time Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves managing front desk duties, handling correspondence, and providing exceptional client service to ensure smooth daily operations. Experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems is highly desirable. The position offers an opportunity to work in a dynamic environment where organizational skills and professionalism are valued.

Responsibilities

  • Greet visitors and manage front desk operations with professionalism and courtesy
  • Handle multi-line phone systems, screen calls, and direct inquiries appropriately
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Manage calendar appointments and coordinate meetings using Microsoft Office and Google Workspace tools
  • Assist with customer support and client communication via phone, email, and in person
  • Maintain office supplies inventory and order necessary materials as needed
  • Provide administrative support for various departments including scheduling, correspondence, and report preparation
  • Ensure proper phone etiquette and professional communication at all times

Experience

  • Prior office experience or clerical experience preferred, including familiarity with office management tasks
  • Experience with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace is highly advantageous
  • Background in customer service or customer support roles beneficial
  • Proven organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong typing skills and attention to detail for proofreading and data entry tasks
  • Bilingual abilities are preferred to assist diverse client needs
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Familiarity with calendar management, phone etiquette, and office procedures is essential
