Administrative Assistant

Hours: Monday through Friday 8:30am to 5:30pm

Reports to: Support Services Program Manager

Supervises: None

Condition of Employment: Full-time; contingent upon funding.

Salary: $16.00

Responsibilities include:

· Assist with walk-ins and prepare paperwork for on-call

· Operate multi-line telephone system, which includes responding to the 24-hour crisis line when necessary.

· Courteously greet and assist clients and public, give general information on La Casa’s programs and services, appointment scheduling and availability, etc.

· Responsible for scheduling appointments for clients of La Casa’s Non-Resident, BIP and Children’s Counseling Programs as needed. This includes updating appointment book accurately to include client and counselor cancellations and/or rescheduling, and keeping counselors informed of any client cancellations or rescheduling.

· Enter data into database regarding all incoming donations/ walk-in and mail.

· Generates and mails all thank-you letters for cash and in-kind donations.

· Preparation of blank client files for different programs.

· Make appointments for various departments.

· Provides administrative support to Executive Director, and Executive Assistant including word processing and some spreadsheet work, as well as other administrative tasks.

· Assists Development Director with administrative tasks related to volunteer applicants

· Shredding as directed by ED

· Assist in receiving donated clothing, furniture and house ware items by escorting donors to donations warehouse, helping unload donations and issuing receipts.

· Purchasing supplies and other daily errands as assigned.

· Keep lobby/foyer area presentable for public.

· Make copies and faxes for clients.

· Monitor e-mails from La Casa contact account and forward as appropriate.

· Attend volunteer training and other sessions necessary for professional development.

· Other duties as assigned.

QUALIFICATIONS:

· 2 years administrative and receptionist experience preferred

· High school graduate or equivalent.

· Computer literate-familiar with Excel, Access, and Word for Windows.

· Clerical skills to include filing, answering multi-line phone system, scheduling -appointments.

· Bilingual-Spanish speaking required.

· Warm and empathetic capabilities.
