Job Purpose:
The Administrative Assistant provides essential administrative, clerical, and organizational support to ensure the smooth and efficient operations of the Office of Educator Services. This role supports internal staff, communicates with clients and visitors, and manages day-to-day office activities with professionalism and accuracy.
The administrative assistant works under the general supervision of the office director and must be able to work both independently and collaboratively and prioritize work tasks. The employee must display professionalism and use discretion and judgement in handling employee and educator information.
This position is in the main office of the South Carolina Department of Education. Limited, if any, travel is required. Some light lifting of supplies and materials may be required.
ADMINISTRATIVE AND CLERICAL SUPPORT
Manages daily office tasks, organizes files, and maintains records to ensure effective office workflows; prepares documents, reports, and correspondence using office templates and software tools; operates office equipment including copiers, printers, and scanners, and troubleshoots minor issues; assists with onboarding of new employees.
FINANCIAL AND OPERATIONAL SUPPORT
Assists with budgeting and expense tracking; prepares travel authorizations and reimbursements for staff; supports purchasing, procurement, and supply inventory management; adheres to agency protocols and procedures for financial transactions, procurement, purchase orders, and invoices.
COMMUNICATION AND CUSTOMER SERVICE
Answers and routes incoming calls and general emails; greets and assists office visitors; coordinates staff coverage to assist office visitors; drafts memos, emails, letters, and other professional communications; coordinates communication among office staff; submits office requests through the agency routing system for approval.
SCHEDULING AND EVENT COORDINATION
Schedules appointments, meetings, and other events; reserves meeting space and plans for technology needs and supports; organizes meeting logistics, prepares materials, and takes meeting minutes as needed; follows agency procedures for hosting meetings on site with external groups; assists office staff in preparation for State Board of Education committee meetings.
ADDITIONAL RELATED RESPONSIBILITIES AS ASSIGNED
A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
A high school diploma and four years of clerical/administrative assistant experience or an associate degree in office skills, secretarial science, or other related field and two years of experience as an administrative assistant.
