Responsibilities
- Manage and direct incoming phone calls, emails, and other correspondence in a professional and timely manner.
- Coordinate and schedule appointments, meetings, and site visits for the technical team, ensuring calendars are accurately maintained.
- Prepare, format, and proofread a variety of documents, including reports, invoices, and client quotations.
- Maintain organised and accurate digital and physical filing systems for all company records and project documentation.
- Monitor office supplies, manage inventory, and place orders as needed to ensure the office is well-equipped.
- Serve as the first point of contact for clients, providing outstanding customer service and handling enquiries effectively.
- Assist with data entry, basic bookkeeping tasks, and processing of invoices to support the accounts department.
- Liaise with clients, suppliers, and internal team members to facilitate clear and efficient communication across all projects.
Qualifications
- Proven experience in an administrative, office support, or a similar role.
- Exceptional organisational and time-management skills, with a proven ability to prioritise tasks effectively.
- Strong verbal and written communication skills with a professional and courteous manner.
- Proficiency in the Microsoft Office Suite, particularly Word, Excel, and Outlook.
- A high degree of attention to detail and a commitment to accuracy in all tasks.
- The ability to work independently with minimal supervision whilst also being a collaborative and supportive team member.
- A positive attitude and a strong commitment to providing excellent customer service.
- Previous experience working within the construction or trade services industry is highly desirable but not essential.
- Familiarity with scheduling or CRM software would be considered an advantage.
