Administrative Assistant - Accounting and Tax Firm Experience

Job Overview
We are seeking a dynamic and detail-oriented Administrative Assistant with accounting and tax experience to join our team. This role is vital in supporting our office operations, assisting in managing bookkeeping tasks, and ensuring smooth communication across departments. Responsibilities

  • Handle multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Perform bookkeeping tasks using QuickBooks Online, including data entry, invoicing, and expense tracking
  • Assist with tax preparation support by organizing documents, proofreading reports, and maintaining accurate records
  • Maintain organized filing systems digitally using Google Drive and TaxDome
  • Support calendar management, scheduling appointments, meetings, and reminders for the Director of Accounting and Human Resources
  • Provide customer service by responding promptly to inquiries via phone or email and offering assistance as needed
  • Other job duties as assigned

Experience

  • Previous experience working in an accounting firm, tax office, or similar environment required
  • Proven office management experience with a focus on administrative support in an accounting or tax environment
  • Strong proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
  • Previous clerical experience including data entry, filing, proofreading, and document organization
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
  • Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette
  • Personal assistant or executive assistant experience is advantageous but not required; strong office experience is essential

Pay: $45,000.00 - $55,000.00 per year
