The MAA is currently accepting applications for the position of Administrative Assistant (Administrative Officer III) within the Office of Environmental Compliance and Sustainability at the Baltimore/Washington International Thurgood Marshall Airport (BWI Marshall Airport).

Responsibilities Include but are not limited to:

  • Receiving, monitoring, tracking, sorting, and distributing all incoming documents, mail, and packages.
  • Screening, analyzing, preparing, and managing responses for OECS correspondence, emails, memoranda, charts, and tables.
  • Creating and maintaining comprehensive technical and administrative files (both electronic and paper) for the OECS.
  • Coordinating internal and external meetings, maintaining calendars, and arranging travel for OECS personnel.
  • Maintaining personnel files and handling sensitive, privileged data for all OECS sections and the Chief Engineer’s office.
  • Monitoring expenditures per contract and task using the Contract Management and Planning System (CMAPS) to provide detailed spending analysis.
  • Creating spreadsheets and visual representations of financial status (funds available vs. spent) for forecasting and reporting to the finance team.
  • Assisting in preparing and monitoring the yearly OECS operating budget and providing justifications for new expenditures.
  • Transferring funds between contracts and tasks to ensure availability.
  • Maintaining budget records, oversee account operations, and monitoring expenditures up to an approved FMIS level of 900.

This position is located at BWI Marshall Airport in Anne Arundel County, MD.

Qualifications

Minimum Qualifications:

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years’ experience in administrative or professional work. * Candidates must possess at least one year of experience utilizing the Contract Management and Planning System (CMAPS) or a similar automated financial tracking system to manage budgets, track expenditures, and process vendor invoices.

Notes:

1. Candidates may substitute education at an accredited college or university at the rate of 30 credit hours for each year of the required experience.

2. Candidates may substitute the possession of a Bachelor's degree from a college or university for the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

Licenses & Certifications

Employees in this classification may be assigned duties that require operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the state of Maryland.
