Administrative Assistant at Heavy Equipment Yard

Job Overview
We are seeking a dynamic and organized Administrative Assistant to join our Heavy Equipment Yard team. This vital role involves providing comprehensive administrative support to ensure smooth daily operations within our busy yard environment. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, with a passion for maintaining efficient office management and delivering exceptional customer service. Your proactive approach will help keep our operations running seamlessly, supporting both internal teams and external clients. Duties

  • Manage front desk responsibilities, greeting visitors and directing inquiries with professionalism and warmth
  • Handle incoming calls efficiently, providing accurate information or routing calls appropriately
  • Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents and records
  • Perform data entry tasks using Microsoft Office and Google Workspace applications to update records, logs, and reports
  • Assist with bookkeeping using Biil.com and QuickBooks to track expenses, invoices, and payments accurately
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Provide customer support by addressing inquiries promptly, offering solutions, and ensuring positive interactions
  • Handle clerical duties including proofreading documents, managing correspondence, and maintaining office supplies

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with Biil.com / QuickBooks or similar bookkeeping software is highly desirable
  • Bilingual abilities (English and Spanish) are a plus to effectively communicate with diverse clients and team members
  • Strong typing skills and computer literacy are essential for efficient data entry and document preparation
  • Demonstrated ability to manage time effectively in a fast-paced environment
  • Prior administrative or clerical experience in an office setting is preferred
  • Personal assistant or office management experience is advantageous for handling calendar management and scheduling tasks
