GENERAL FUNCTION / SUMMARY
This position is with Star Seven Financial Services Inc., an affiliated company of TransGlobal. Star Seven Financial Services Inc. is responsible for the day-to-day operations of this role.
We are looking for an administrative assistant for a financial professional who has attention to detail in paperwork and client communications.
MAJOR DUTIES AND RESPONSIBILITIES

Prepare and submit account forms and service requests.

Track application status and follow up with custodians, carriers, TPAs, and financial institutions.

Maintain accurate client records

Monitor outstanding paperwork and follow up to ensure completion.

Answer incoming calls and respond to client inquiries.

Schedule client appointments and maintain calendars.

Greet clients and visitors professionally.

Prepare and send client correspondence, emails, and follow-up communications.

Assist with client account opening paperwork.

Assist with clients' annual review preparation.

Maintain ongoing communication with clients regarding pending requirements and documentation.

Manage calendars, meetings, and appointment scheduling.
- Prepare reports, presentations, and meeting materials.
- Maintain electronic and physical filing systems.
- Process incoming and outgoing mail.
- Order office supplies and coordinate office maintenance.
- Assist with special projects as assigned.
BASIC QUALIFICATIONS

2-3 years of administrative experience preferred;

Excellent organizational skills with the ability to multitask effectively in a fast-paced environment

Bilingual in English and Mandarin.

Detail oriented, organized, logical thinking and good communication.
