Administrative Assistant & Client Relations Coordinator

About the Job

MTH Landscaping is a full-service landscape and property maintenance company and we are growing fast. We are looking for a dependable, friendly, and organized Administrative Assistant & Client Relations Coordinator to join our team full-time. If you are a people person who stays on top of the details, learns quickly, and takes pride in doing things right, this could be a great long-term fit.

This position reports to our Office Manager and is a ground-floor opportunity with real room to grow. We are not just filling a seat — we are building a team.

What You Will Do

Client Communication

  • Answer phones and respond to emails professionally and warmly on behalf of MTH Landscaping
  • Manage the Install Sales team inbox and handle client communication on their behalf
  • Follow up on sent estimates to get a yes or no from every prospect
  • Reach out to clients after project completion to request online reviews

Lead Management

  • Enter all new client and lead information into our business management platform (LMN)
  • Route maintenance and enhancement leads to the appropriate sales team; route install leads to Install Sales
  • Pre-qualify inbound leads and schedule consultations
  • Keep all lead records accurate and up to date

Billing & Payments

  • Collect and securely store a credit card on file for every residential client at the time of sale
  • Assist in processing invoices under the direction of the Office Manager

Scheduling & Office Support

  • Coordinate scheduling for contract marketing activities
  • Verify timesheets against our timekeeping system and flag any discrepancies
  • Maintain a clean office environment; create signs and labels for tools and spaces
  • Run errands and make bank deposits as needed

What We Are Looking For

  • Friendly, outgoing personality — clients will interact with you regularly
  • Highly organized with strong attention to detail
  • Comfortable managing multiple tasks at once without dropping the ball
  • Experience with any CRM, scheduling, or project management software
  • Quick learner — we will train you on our specific tools and systems
  • Comfortable handling billing and sensitive client payment information
  • Valid driver's license (for errands and bank deposits)

Bonus If You Have...

  • Background in bookkeeping, invoicing, or accounting support
  • Experience in a similar admin or customer-facing role
  • Prior work in landscaping, construction, or a trade industry
  • Experience in finance, HR, or business operations

Compensation & Benefits

  • Starting pay: $16.00/hour (based on experience)
  • 90-day probationary period with a performance review at the end

Pay: $15.00 - $18.00 per hour
