Summary
We are seeking a dependable and experienced Administrative Assistant to support the Production Manager and production team at our headquarters in Gardena. We are looking for candidates with prior construction trade or related experience who understand the pace, terminology, and demands of active construction projects. The ideal candidate we are seeking will be highly organized, adaptable to changes, and committed to keeping projects on track. This role is vital in ensuring smooth office operations, effective communication, and efficient project coordination within a fast-paced construction environment.
Key Responsibilities
- Provide administrative support directly to the Production Manager
- Maintain, organize, and update construction project files and documentation, primarily through Smartsheet
- Assist with scheduling, calendars, meetings, and production coordination
- Track and process purchase orders, invoices, work orders, and job cost paperwork
- Maintain production logs, spreadsheets, and job status reports
- Communicate with subcontractors, vendors, suppliers, and internal teams
- Assist with permit tracking, inspections, and compliance documentation
- Answer phones, manage emails, and route communications professionally
- Adapt quickly to changing priorities and shifting project demands
- Perform additional administrative duties as needed to support production goals
Experience
- Minimum 4 years of previous work experience related to administrative duties required
- Minimum 2 years of previous work experience related to construction trade (office or field) required
Skills
- Proficiency in using Microsoft Outlook, Word, and Excel programs
- Proficiency in using Smartsheet spreadsheets
- Strong working knowledge of construction processes, terminology, and workflows
- Strong organizational skills and attention to detail
- Ability to learn quickly and adapt to ever-changing account demands
- Excellent written and verbal communication skills
- High level of commitment, reliability, and professionalism
- Ability to work independently and collaboratively in a fast-paced environment
Education
- High school diploma or GED required
- College degree is a plus
Pay: $20.00 - $25.00 per hour
